1. Application

This privacy policy relates to:

• How we handle information received or collected about you as an individual through the Website,
• How we communicate with you as an individual, and
• Your rights as an individual in respect to such information and communications.

It does not relate to information about companies held and processed by us.

2. Definitions

In this privacy policy references to:

• “we”, "us" or "our" are to Schools & Agents (Malta) Ltd. (registered in the Republic of Malta number: C70476) whose registered address is at 48, Triq Gorg Sammut, Zurrieq, ZRQ 2282, Malta.
• “the Website” are to www.schoolsandagents.com and any other website owned or operated by us.

3. Information We Collect

We may collect certain user information (including personal information) in the following ways:

• Direct Communication: Information you provide when you contact us directly by phone, Skype, email, make an enquiry through the Schools & Agents request form, or communicate with us via third-party social media sites.
• Types of Information: This includes your name, telephone number, country of residence, company name, the category of application (industry agent, educator, association, service provider, other), and any further information you choose to provide in the optional message field.

Please be aware that the data you provide may be recorded to monitor and analyze trends, usage, and activity on the Schools & Agents website, and for marketing or promotional purposes.

• Data Retention:
• Data from schools and service providers will be retained in our database for one year and will only be retained if they choose to renew their membership with Schools & Agents.
• Data from agents will be retained for three years and will only be retained if the agent agrees to retain it after the three-year period.
• If you do not wish your information to be retained, your details will be removed from our database. You can request for your data to be deleted at any time by emailing Bernice Camilleri or Lynne Farrugia at [email protected] or [email protected] with your specific request.

4. Use of the Information You Provide Us

• Consent: We use your information with your consent for administrative purposes and may pass your personal information to other companies.
• Third-Party Management: We use Google Analytics, Constant Contact, and Google Forms for managing events, processing data, and monitoring website usage. These third parties are not allowed to use your personal information for their own purposes.
• Legitimate Interests: We may contact you about our Schools & Agents member schools, agents, sponsors, service providers, and organizational events through the information you have submitted. We will not sell your information to third parties as of May 25, 2018.

5. Your Rights

Your rights under the GDPR include:

• Access: Request confirmation if your personal data is being processed and access to that data.
• Rectification: Request that we rectify or complete your personal data if inaccurate or incomplete.
• Erasure: Request that we erase your personal data under certain circumstances.
• Restriction: Request that we restrict the processing of your personal data under certain circumstances.
• Objection: Object to any processing based on legitimate interests.
• Withdrawal of Consent: Withdraw your consent for future processing.
• Complaint: Lodge a complaint with the Office of the Information and Data Protection Commissioner in Malta.

We will comply with valid requests within one month. Requests that are unfounded, excessive, or repetitive may be refused.

6. Making an Enquiry with Schools & Agents

The information collected through our enquiry form includes your name, email address, and any additional information you choose to provide. This data may be recorded for monitoring and analyzing website trends, usage, and activity, and for marketing purposes.

7. Schools and Agents Directory of Members

• Agents Section: Information includes the name of the agency, contact name, email addresses, telephone number, physical address, description, website, VAT number (optional), social media links, and logo.
• Schools Section: Publicly available information includes the name of the school, contact details, description, website, VAT number (optional), logo, social media links, course and accommodation options, brochures, price lists, and flyers.
• Service Providers: Information includes the name of the service provider, contact details, description, website, VAT number (optional), logo, and social media links.

The data will be retained as specified in section 3. If you do not wish your information to be retained, you can request its deletion.

8. Promotion and Newsletter Communications

We use Constant Contact to deliver e-newsletters. We gather statistics around email opening and clicks to improve our e-newsletter. You may opt out of receiving promotional emails at any time by following the instructions in the emails or by contacting us directly.

9. Testimonials

We may display testimonials with your consent, including your name and company, on our website. We will always contact you directly to get your permission.

10. Security

If you are a member, you will have login details to access the Directory page. Please ensure you log out and close your browser after your session. We will never ask for your password in an unsolicited phone call or email.
